Job Overview
We are looking for a highly organized, tech-savvy Executive Assistant to provide direct operational support to the CEO and manage the firm’s administrative and financial workflows. This role requires a candidate who bridges the gap between traditional administration and operational management, ensuring project deadlines are met and financial records are impeccable.
Key Responsibilities
Accounting & Invoicing: Manage the end-to-end invoicing process, track accounts receivable/payable, and maintain accurate financial records to ensure healthy cash flow.
Operational Management (ClickUp): Serve as the primary architect for ClickUp, organizing tasks, setting deadlines, and monitoring project progress to ensure team accountability.
CEO Support: Act as the right hand to the CEO, managing a complex calendar, filtering communications, and executing specialized operational projects as directed.
General Administration: Draft professional correspondence, maintain digital filing systems, and handle vendor relations with a focus on cost-efficiency.
Requirements
Background: Minimum 3 years of experience in an Admin or VA role, with a documented background in basic accounting or bookkeeping.
Technical Mastery: Advanced proficiency in ClickUp (or similar project management tools) and MS Excel is mandatory.
Communication: Exceptional English verbal and written skills; ability to communicate with high-level stakeholders.
Problem-Solving: A proactive mindset that anticipates operational bottlenecks before they impact the CEO’s workflow.
